Admins can invite new users to an institution directly from the Institution Users page. There are two ways to add users: individually or by bulk uploading a CSV file.
Inviting Users Individually

Navigate to the Institution Users page and click the Invite Users button at the top right.

Fill in the required fields for each user:
- Given Name
- Surname
- Email Address (must be the user's institutional email)
- Role (e.g. Learner, Educator)
- Cohort (optional) -
Once you complete the fields, click Add.
- A green "Valid" status will appear if the information is entered correctly.
- If there are any errors, they will be displayed below the corresponding field.
Note: All errors must be corrected before you can send invitations. -
You can continue adding multiple users individually. Use the edit (pencil) or delete (trash can) icons next to a user entry to update or remove them.

When all users have a green "Valid" status (meaning no errors remain), click Send Invitations at the bottom right corner.

A confirmation message will appear once the invitations are successfully sent.
If there are still errors, you’ll see a prompt to fix them before proceeding.
Inviting Users in Bulk (CSV Upload)

On the Invite Users page, click Import CSV.

Upload a CSV file from your computer. The file must follow the provided template format with these headers:
- Email (must be the institutional email)
- Surname
- Give Name(s)
- Role
- Cohort (optional)
Note: You can invite up to 400 users at once using a CSV file. -
After uploading, users will appear on the invite screen:
- A green checkmark means the entry Is valid
- A red "x" indicates an error. Click the edit icon to view and correct the error directly.
- You can also reset the form and re-upload a corrected CSV file in order to fix the entries with errors via the "Reset form" button on the top right corner of the invite screen.
Note: Attempting to send invitations with errors present will trigger a message prompting you to fix them. -
Once all entries are valid, click Send Invitations to notify users by email to connect their accounts to the institution.
